If we conclude an agreement with you, we will store data such as your name, address and data necessary for performance of the contract.

Consent to data processing

By submitting application documents, the applicant automatically accepts that the data transmitted to us will be collected, processed, stored and used in accordance with legal requirements for the purpose of processing the application.

Note about sensitive data: Please be advised that the application documents as well as any included CVs, certificates and other documents you provide to us may contain highly sensitive information such as ethnic origin, political opinions, religious or philosophical beliefs, and membership in unions and/or political parties as well as information about your health status or sex life.

If you provide us with such information in your application, you automatically accept that we may collect, process, store and use this information for the purpose of processing the application. This data is processed in accordance with this Privacy Policy and other relevant legislation.

By submitting your application, you are assuring that the information provided by you is true. Please be advised that any false statement or deliberate omission may constitute grounds for rejection of your application or later termination in the event of employment.

Retention period for application data

Your personal application data will be deleted six months after the application process has ended. This does not apply if deletion is prohibited by law, if continued storage is necessary for the purpose of providing evidence, or if you have expressly consented to a longer retention period.

Storage of data for future job openings

If we are unable to offer you a position for a current vacancy, but your profile suggests that your application may be of interest for future job postings, we will store your personal application information for a period of twelve months, provided you expressly consent to such storage and use. With your consent, we will compare your documents with job postings as part of an automated process and contact you if there is a suitable opening for you. Your data will not be transferred to third parties outside the group of companies under any circumstances.

Handling of data

Your personal information and personal data will be treated with the utmost care and discretion and will be stored and used only for specific purposes. In doing so, we observe strict data protection rules and regulations. The personal data you provide is subject to restrictive access control. This ensures that only authorised persons can access your data. Your applicant data will be used only by Human Resources Management for purposes of applicant management. In addition, if a suitable opening arises, your applicant data will be sent to the relevant department as well as managers responsible for the job posting. All employees responsible for data processing within the HerkulesGroup are required to safeguard the confidentiality of your data. Your information will not be disclosed to third parties under any circumstances.

Use of data

When we process your application, we process the personal data that you have submitted to us. We only use your data for as long as it is necessary to fulfil this purpose. Your data will only be used for the purpose for which it was collected. We process the data you provide in our recruitment management system. We use employment-oriented websites such as Xing and LinkedIn when we review your application documents.

Right of access, right to erasure, right to block

You may, at any time, submit a written request for free information about your stored personal data, its origin and recipients and the purpose for which it is being processed. You also have the right to request for this data to be corrected, blocked or deleted. If you ask us to cease using your personal data to contact you and/or to delete it, we will comply with your request. Data that is absolutely necessary for order processing or business purposes is not affected by a withdrawal of consent or deletion. Please do not hesitate to contact our data protection officer should you have questions regarding the processing of your personal data as well as suggestions, requests for information or complaints.
